ProActive Health is seeking a highly organized, proactive, and people-focused Lead Office Administrator & Receptionist to support the daily operations of our busy, multidisciplinary healthcare clinic. This role is central to the clinic’s success — overseeing front-desk operations, administrative systems, insurance processing, and supporting both practitioners and staff.
The ideal candidate is professional, adaptable, and thrives in a fast-paced healthcare environment while maintaining warmth, clarity, and attention to detail.
Manage front desk operations, including greeting patients, handling a multi-line phone system, and responding to inquiries
Schedule, confirm, and manage patient appointments; oversee check-in, check-out, payments, invoicing, and billing
Optimize scheduling efficiency and maintain the master practitioner schedule (including holidays and time off)
Submit insurance claims, oversee insurance reconciliation and processing, and ensure accuracy of accounts
Complete MVA claims, including collecting required documentation, billing, and correspondence with adjusters
Maintain communication with lawyers’ offices regarding patient records and MVA-related cases
Process employee and practitioner payroll
Assist with human resources functions such as onboarding new hires, maintaining personnel files, and adding staff and practitioners into Jane and payroll systems
Order clinic supplies and manage inventory as needed
Develop strong knowledge of clinic modalities and communicate them clearly to patients
Observe, understand, and continually improve clinic systems and workflows; identify inefficiencies and implement improvements
Encourage a positive, collaborative workplace culture
Handle a wide range of scenarios professionally within a multidisciplinary clinic environment
Embrace evolving responsibilities as the clinic grows
Proven experience in office administration, reception, or clerical roles (healthcare experience strongly preferred)
Experience managing a busy office and multitasking effectively in a fast-paced environment
Supervisory or team leadership experience is an asset
Strong written and verbal communication skills with professional phone etiquette
High level of discretion when handling confidential information
Comfortable adapting to new systems and demonstrating proactive problem-solving
Proficiency with office software (Excel, Word, scheduling systems); familiarity with Jane App is preferred
High school diploma or equivalent; additional education or certifications in office administration are an asset
